Provide entry, mid, or high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meeting. Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software. Prepare conference and event materials such as flyers or invitations.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Review work done by others to check for correct spelling and grammar, ensure that Agency format policies are followed and recommend revisions. Open, sort, route and distribute incoming correspondence, mail, including faxes and email. File and retrieve corporate documents, records, and reports. Greet visitors and determine whether they should be given access to specific individuals. Prepare responses to correspondence containing routine inquiries. Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. Prepare and mail checks. Prepare agendas and make arrangements for committee, board, and other meetings. Maintain scheduling and event calendars. Schedule and confirm appointments for clients, customers or supervisors; answer phones and direct calls to appropriate parties; take messages. Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports. Make travel arrangements for executives and office personnel. Establish work procedures or schedules and keep track of the daily work of clerical staff. Supervise other clerical staff and provide training and orientation to new staff. Train and assist staff with computer usage. Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence or other material. Manage projects or contribute to committee or team work. Conduct searches to find needed information, using such sources as the Internet. Perform related work as required or assigned.
