DESCRIPTION OF TASK
Provides administrative, secretarial, clerical, research, reporting time and payroll maintenance services to the Office of General Counsel, Corporate Secretary and Claims Administration, including but not limited to carrying out tasks without supervision, drafting and typing correspondence, opening and maintaining files, conducting research, assembling materials for reports and creating reports, ordering office supplies and equipment, completing claim forms and filing them and working with electronic matter management programs.
Drafts correspondence, reports, and other documents independently, provided that appropriate training and instruction has been given.
Works with legal staff to assist them in carrying out their obligations and duties. Assists in preparing and filing of pleadings for courts in New Jersey and Pennsylvania for Litigation, Workers Compensation claims, and property damage claims.
Works cooperatively with all members of the Office of General Counsel, and particularly with other secretarial and clerical staff. Interacts courteously with other employees at all levels and with outside counsel and other visitors.
Assists in reviewing invoices for legal services received by the Department and in processing these for payment
Assists in purchasing and procurement activities including using the Authority's Enterprise Resource Planning (SAP or its equivalent). Prepares necessary paperwork for monthly reports, ordering of supplies, and office equipment maintenance without supervision after receiving appropriate training.
Performs file organization and management.
Manages time sheets, expense records and payroll records as required; assists in receiving, logging and distributing mail.
Interacts, discusses and provides information with Chiefs, Deputies and other management regarding status of claims, investigations, Summary Statements and Resolutions, and other matters handled by the Office of General Counsel.
Arranges attendance at seminars, and conferences.
Performs other related duties as required and assigned, including working with Corporate Secretary or Claims Administration as required.
Assists in maintaining a safe and secure work environment by participating in required training, recognizing and reporting hazards and suspicious activity, and using all required personal protective equipment.
What type of specialized education or skill training is required in order for your position to be performed at least satisfactorily? If specialized education is required, what is the work experience equivalent?
Associate's degree or equivalent work experience.
Proficiency in relevant personal computer applications such as word processing, spreadsheet applications and data base management, scheduling using the computer based calendar application, and financial systems as needed.
Five (5) years of relevant experience as a legal secretary or administrative assistant in a legal setting, a law firm or corporate law department, administrative or judicial agency.
